Data Retention and Deletion Policy

This page describes how long ClinBound keeps your data and exactly what happens when you delete it. It is part of the Privacy Policy. The one-sentence version: we keep your data while your account exists, deleting your account erases it immediately, deleted items are permanently erased within 30 days, and you should keep your own copies of anything you cannot afford to lose.
While your account exists
Everything you enter — profile, coursework, activities, schools, applications, essays, uploaded files, practice history, and AI conversations — is kept for as long as your account exists, so the product can show it back to you. We do not auto-expire your content, and closing the app or cancelling a subscription does not remove anything.
Deleting individual items
Deleting an item inside the app — a course, an essay draft, a document, an activity, a conversation — removes it from your account immediately. There is no trash folder and no undo: you cannot get it back yourself, and the confirmation prompt is your only safety net.
Behind the scenes the record is marked deleted and then permanently erased by an automated purge that runs every day, within 30 days of you deleting it. Uploaded files whose record has been purged are swept from storage by the same nightly job. We describe this window rather than claiming instant erasure because it is what the system actually does — and because it means that if you delete something by accident and email us quickly, there is a chance we can still help. After the purge there is not: at that point the data is genuinely gone.
Deleting your account
Settings → Delete my account permanently deletes your account and everything in it, in one immediate, irreversible operation: your profile, coursework and grades, activities, schools and applications, goals and plans, essays and drafts, uploaded files, practice history, and AI conversations. Your login itself is removed, and uploaded files are deleted from storage — not just unlinked.
Account deletion is not the 30-day path described above — it is immediate and total. There is no grace period and no backup we can restore for you afterward. If you might want your essays later, export or save copies before you delete: once this completes, we cannot help you recover anything.
No backup service
We do not offer backup, restore, or archival as a service, and you should not treat ClinBound as the only home of anything important. Any backups of our infrastructure that exist are operational (for recovering the service as a whole, not individual accounts), are not accessible to you, and expire on their own schedule. The practical advice — and the policy — is the same sentence as always: keep your own copies of your essays and anything else you cannot afford to lose.
What third parties keep
ClinBound runs on service providers who hold data under their own retention rules, which deleting your ClinBound account does not always erase:
- Stripe (payments) — keeps transaction and billing records as required by financial regulations, typically for years. We cannot delete a payment record that the law requires Stripe to keep.
- Anthropic (AI) — receives the content described in the AI Disclaimer when you use AI features and handles it under its own commercial data policies.
- Supabase (database and storage) and Vercel (hosting) — the infrastructure the product runs on; deletion removes your rows and files from the live systems they host.
- Resend (email) — delivery logs for the emails we send you, such as confirmation and password-reset messages.
Getting your data out
Your data is yours. You can read everything you entered inside the app at any time, and you can email 23quamoliv@gmail.com to request a copy of your data, correction of something wrong, or deletion — the same rights described in the Privacy Policy, honored regardless of where you live.
